About the position
We’re looking for a highly organized, analytical, and tech-savvy Sales Operations Analyst – AI & Lead Management to help us make sure valuable sales opportunities never fall through the cracks.
At Globalfy, AI already plays an important role in how we interact with and qualify potential customers throughout their journey. Our AI sales agent, Jessica, handles a high volume of lead conversations every day. Your role will be to provide the human layer behind this operation.
You will monitor conversations, identify buying signals and high-value opportunities, determine when human intervention is needed, and make sure the right opportunities reach the right salesperson at the right time.
You will spend a significant part of your day inside HubSpot, monitoring leads, conversations, activities, and opportunities. You will also work closely with Sales, Marketing, and the team responsible for Jessica to continuously improve how we qualify, route, and engage with potential customers.
This is not a traditional SDR role, and you will not be responsible for running sales meetings or closing deals. Your job is to make sure our salespeople spend their time on the right opportunities — and that we don't miss valuable opportunities hidden inside a high-volume inbound operation.
What you'll own
As a Sales Operations Analyst, you will:
Monitor and review conversations between inbound leads and Jessica, our AI sales agent;
Identify buying signals, high-intent leads, valuable opportunities, and conversations requiring human intervention;
Escalate qualified and high-priority opportunities to Sales quickly;
Route leads to the appropriate salesperson according to predefined criteria such as language, geography, customer profile, opportunity type, and ownership rules;
Continuously monitor HubSpot to identify leads and opportunities requiring action;
Make sure important opportunities don't get lost because of delayed follow-ups, incorrect routing, incomplete information, or AI limitations;
Review and help evaluate the quality of MQLs generated by Marketing;
Work closely with Marketing to provide feedback on lead quality, sources, campaigns, patterns, and conversion potential;
Identify cases where Jessica missed a buying signal, misunderstood a lead, failed to collect important information, or should have escalated a conversation earlier;
Provide clear and structured feedback to the team responsible for developing and improving Jessica;
Identify recurring patterns, objections, questions, and problems across lead conversations;
Help improve qualification criteria, prompts, routing rules, workflows, and sales processes;
Maintain strong CRM hygiene and make sure relevant information is properly registered in HubSpot;
Use HubSpot lists, filters, properties, tasks, workflows, reports, and other tools to monitor and prioritize leads;
Use ChatGPT and other AI tools to analyze conversations, classify leads, identify patterns, summarize information, and increase productivity;
Look for opportunities to reduce repetitive manual work through AI, automation, filters, workflows, and better processes;
Collaborate daily with Sales, Marketing, and the teams responsible for our AI agents.
What we're looking for
We're looking for someone who understands sales processes but is especially strong at organization, systems, technology, pattern recognition, and execution.
You may have previous experience as an SDR, BDR, pre-sales representative, inside sales representative, e-commerce salesperson, sales operations analyst, or in another high-volume commercial environment.
Must-have
Previous hands-on experience working in sales, pre-sales, SDR/BDR, inside sales, e-commerce sales, sales operations, or another commercial environment;
Strong understanding of how a sales funnel works, including leads, MQLs, qualification, opportunities, follow-ups, pipeline stages, and conversion;
Hands-on experience using HubSpot in a sales environment;
Ability to work with a high volume of leads, conversations, activities, and CRM data while staying organized;
Strong analytical and critical-thinking skills;
Ability to recognize buying signals and understand when a salesperson needs to take over a conversation;
High attention to detail without sacrificing speed;
Strong sense of urgency and ownership;
Ability to follow lead-routing rules and operational processes consistently;
Strong technology skills and the ability to learn new systems quickly;
Experience using ChatGPT or other AI tools as part of your daily workflow;
Strong written communication skills;
Professional fluency in Portuguese.
You do not need to be an experienced closer.
But you must understand sales well enough to recognize when a real commercial opportunity is developing and know when Sales needs to step in.
HubSpot & technology
HubSpot will be one of your primary working environments.
We are looking for someone who has actually used HubSpot as part of their daily commercial routine — not someone who has only occasionally updated contacts or deals.
You should be comfortable working with areas such as:
Contacts and companies;
Deals and pipeline stages;
Activities and tasks;
Properties;
Lists and filters;
Lead qualification information;
Lead ownership and routing;
Reports and dashboards;
Workflows and automations.
Strong differentiators
You will stand out if you have:
Advanced experience with HubSpot;
Experience with HubSpot workflows, lists, filters, reports, and automation;
Experience working with high volumes of inbound leads;
Previous SDR, BDR, pre-sales, inside sales, e-commerce, or sales operations experience;
Experience reviewing customer conversations or sales interactions;
Experience with AI agents, conversational AI, chatbots, or automated customer journeys;
Experience using AI tools for analysis, classification, or automation;
Experience with tools such as Make, Zapier, n8n, APIs, scripts, or other automation platforms;
Intermediate or advanced English;
Spanish proficiency;
Experience working in technology companies or fast-paced environments.
How we define success in this role
Success isn't measured by how many meetings you personally run or how many deals you personally close.
Success means:
High-intent opportunities are identified quickly;
Valuable leads reach Sales at the right moment;
Leads are routed to the right salesperson;
Important conversations don't fall through the cracks;
Sales receives useful context before engaging with an opportunity;
MQL quality becomes increasingly visible and measurable;
Marketing receives actionable feedback about the leads it generates;
Jessica improves based on real customer interactions;
Problems and patterns are identified before they become larger issues;
Repetitive manual work becomes increasingly automated;
Our salespeople spend more time selling and less time searching through leads and conversations.
Schedule
Mon - Fri 9:00 am - 5:00 pm (East-time)
The position is full-time, which means that you must be available every working day between 9 am and 5 pm EST due to time-zone changing according to Daylight saving time in the United States.
Type of recruitment
Remote (Brazil)
